How I Never Miss a Call Even When I’m Busy
by Johnny Tellez | Aug 19, 2026

For a long time, the phone was my leash.
If you’re an entrepreneur or a business founder, you know exactly what I mean. Every ring is a paradox. On one hand, it’s a potential lead: an opportunity to grow, a client needing help, or a new franchise candidate. On the other hand, it’s a massive interruption. It breaks your focus when you’re deep in business development or, worse, when you’re finally sitting down to dinner with your family.
I’ve spent 20 years in the franchise world, and I’ve seen how "phone fatigue" can cripple a small business growth strategy. You feel like you have to answer everything yourself because "nobody knows the business like I do." But if you’re always answering the phone, you aren’t running the business. The phone is running you.
The Myth of the "Essential" Interruption
We often convince ourselves that being constantly available is a badge of honor. It’s not. It’s actually a sign of a broken system. In my work as a business coach, I see owners who are stuck in "hero mode": trying to do everything because they haven't built the structure to delegate.
The reality is that most inbound calls don't need you immediately. They need an answer, a booking, or a simple redirection. But if you miss that call, that lead goes to your competitor.

Meet Rachel: My AI Receptionist
I stopped being the bottleneck by hiring Rachel. Rachel isn’t a person in a cubicle, and she isn’t a clunky "press 1 for sales" menu that everyone hates. She’s an AI Employee.
Here is how I use her at El Jefe Enterprises to keep the rhythm of my day intact:
- She Answers 24/7: Whether it’s 2:00 PM on a Tuesday or 2:00 AM on a Sunday, Rachel answers. She doesn't take sick days, and she doesn't get "overwhelmed" by a sudden surge in calls.
- She Books Appointments: Rachel has access to my calendar. She qualifies the caller, answers basic questions about our consulting services, and books them directly for a Strategic Deep Dive.
- Dedicated US Number: She operates on a dedicated US phone number, sounding professional and grounded: not like a robotic chatbot.
- Intelligent Transfers: If it’s an emergency or a specific person Rachel is trained to flag, she can transfer the call. Otherwise, she handles it and sends me a summary.
Focus Over Friction
The biggest shift wasn't just "not answering the phone." It was the clarity that followed.
When you know that every inbound inquiry is being handled with care, you can finally commit to deep work. You can focus on operational excellence and leading your team rather than being a glorified switchboard operator.

As a business consultant, I tell my clients that systems should make work easier to teach, inspect, and repeat. Rachel is a system. She turns founder knowledge into a repeatable, 24/7 service. She ensures that "good enough" isn't the standard for customer service: consistency is.
This Isn’t Hype: It’s Operations
I’m not interested in "game-changing" gimmicks. I’m interested in what actually works in the trenches of daily business.
Using AI like Rachel isn't about replacing the human touch; it’s about protecting the human's time so they can be more impactful when they do show up. It’s about moving from survival to growth.

If you’re tired of the constant interruptions but terrified of missing the "big one," it’s time to look at how AI Employees can actually work for you.
Quotable Lines for the Trenches
- "If you're always answering the phone, you aren't running the business. The phone is running you."
- "Consistency is the highest form of customer service. AI doesn't have 'off days.'"
- "Structure is what allows a founder to stop being a bottleneck and start being a leader."
